If you are a salaried individual, chances are that you know all too well how important a payslip can be. The same holds true even for the government of Kenya employees and those working for some of its agencies or commissions.
Previously, the process of acquiring this all-important document was rather lengthy and cumbersome but nowadays it is a lot easier thanks to the advent of modern technology.
The government runs a sophisticated human resource management information system called GHRIS from where you can find all your payslips. Yes, that’s right – the system stores a long list of your payslips there and automatically updates it with new ones to ensure you always have access to a statement that represents your most present income-earning status.
Here is a step-by-step guide on how to access your GHRIS payslips.
What is GHRIS?
GHRIS is short for Government Human Resource Information System. It is a portal owned by the government of Kenya and used to manage its human resource. Most official government employees e.g. police officers, doctors, clerks etc are required to use the GHRIS system for all their human resource needs in the modern-day digital world. In a nutshell, the system is meant for:
- Disciplined forces (Police & Army)
- Ministries and state departments
- Employees of the counties
- Constitutional commissions and independent offices
- State Corporations and Semi-Autonomous Government Agencies (SAGAs)
- Counties (both Executive and Assembly)
- Third-party organizations (e.g. SACCOS, Banks, and pension schemes etc)
What is a Payslip?
A payslip is a note that you are supposed to receive from your employer showing things like your gross income, allowances, deductions, PAYE, and basic pay among others. As a salaried individual, this is one of the most useful documents you can use to secure loans from financial institutions.

How to Generate GHRIS Payslips
To generate your GHRIS payslips you need to first create an account on the GHRIS portal. Once you have an account set up, follow these steps to retrieve your GHRIS payslips.
Step 1: Visit the GHRIS Portal (www.ghris.go.ke)

Visit the GHRIS portal which is www.ghris.go.ke and if you already have a GHRIS account click on the section that says “Government of Kenya Employee”. If this is your first time using this system, you will need to start by creating a GHRIS account and in that case you will need to select the “New Employee” tab.
Step 2: Login to the GHRIS System

Login to the GHRIS system by inputting your User ID (i.e. your personal number) and password.
Step 3: Fill In Your Personal Details (if not yet done already)
Important! Make sure you have filled in all your personal details under the Basic Details, Home Area, Duties, Academic Details, Employment History, and Next-of-Kin/Dependants. You won’t be able to generate payslips until you have populated the relevant sections with your bio-data and information.
Step 4: Visit My Records Tab

From the GHRIS dashboard click or tap on a tab labelled “My Records”, this will generate a dropdown menu.
Step 5: Click on “My Payslip”

Visit the “My Payslip” option on the menu to unlock the payslips section.
Step 6: Visit the “Current Payslips” Section

Visit the “Current Payslips” section to reveal your latest payslip. NB: If you’re interested in older payslip go to the “Previous Payslips” section.
Step 7: Click on “View Payslip”

This is a no-brainer – simply click on the “View Payslip” button. This will reveal your payslip document.
Step 8: Print the Payslip

To download and print the slip go ahead and select “Print Payslip”.

If you can’t access your GHRIS account despite having registered online and provided all the details, drop an email to ghrishelp@psyg.go.ke or contact your relevant HR department.
